What is a quotation?

A quotation is a supplier’s offer of prices and terms in response to a buyer’s enquiry, before any order is placed. It states unit prices, the trade terms (Incoterms), lead time and how long the offer is valid, so the buyer can compare suppliers and decide. A clear quotation often becomes the basis for the proforma invoice and purchase order.

What is the difference between a quotation and a proforma invoice?
A quotation is an early offer of prices in response to an enquiry; a proforma invoice is a more formal, document-style confirmation of the agreed price and terms, often used by the buyer to arrange payment or a letter of credit. The quotation usually comes first.
How long is a quotation valid?
Only for the validity period stated on it (commonly 15–30 days). Prices for international goods move with materials, freight and exchange rates, so quotations are time-bound — always show a “valid until” date.
